Using the Group Control Center For Resource Management

To distribute resources like GenAI keys to a set of people, you can make use of "Groups" feature. Here is how you can manage groups.

For Admins

Navigating the Group Control Center

  1. To open the Group Control Center navigate from the Vocareum Dashboard to the 'Groups' tab on the side menu.

  2. To Create a new group select '+Add group'


  3. Fill out the form by first giving the group a name (this name will be used later to describe allocated resource budgets). Then define the Start date, End date and Timezone. Select 'Add Group' once you are done.


Groups

Once a group has been created you will see it appear in the table back on the Group page.

Select the three dots on the right of the row to edit the adjacent group.

  • Edit Group

    • Clicking on “Edit group” will allow you to edit the group name, start/end date and time zone.

  • Delete Group

    • Clicking on “Delete group” will prompt you with a confirmation message to delete the group. Please note, if you confirm this will will delete the group and all of its associated resources.

  • Edit admins, Edit users, Edit resources

    • Clicking on either “Edit admins”, “Edit users” or “Edit resources” will you to group management page.


Group Management

Add Admins

  • Clicking on “+ Add administrator” will pop open a form to enroll group admins.

    • Group admins will have access to the group control center for the enrolled group.

    • They will be able to add/edit/drop group users and edit user level budgets at the resource level.

  • To enroll a group admin you can either fill out the email and name(optional) for the user in the from. Or create a csv to add in bulk.

    • The csv format is described in a popup when clicking “sample CSV file.”

  • Admins will appear back on the Admin page

Add Members

  • Clicking on “+ Add member” will pop open a form to enroll group users.

    • Members will not have access to the group control center for their group

    • Members will be able to access their resources.

      • For example, if they are enrolled in a group with an allocated GenAI resource.

    • Members will receive a API key associated with the resource in the My Keys section of the GenAI menu.

  • To enroll a group admin you can either fill out the email and name(optional) for the user in the from. Or create a csv to add in bulk.

    • The csv format is described in a popup when clicking “sample CSV file.”

  • Members will appear back on the Member page

Enable Resource

  • Clicking on “+ Enable resource” will pop open a form to enable resource.


    • To create a GenAI resource you will need to select a Policy which you have created for your org.

      • A Policy is a GenAI service rule which defines which organization GenAI services are allowed to be used and which models are accessible.

    • Choose an expiration date (optional)

      • Last date in which the resource can be utilized.

    • Set a Group budget

      • Budget which is allocated for the resource for the group. All members combine spend cannot exceed this amount.

    • Set a User budget

      • Budget which is allocated for the resource for the group member. All members individual spend cannot exceed this amount.

  • When you are ready select 'Enable resource'


  • Once the form has been submitted it can take some time as it configures the resources for the group. Once complete it will show up in the Resource table.

Where can a Member access their resources?

  • A group Member can access their keys from the side bar tab that says 'GenA'I. And navigating to 'My Keys'

    • It will show up in the format “GROUP_NAME(POLICY_NAME)“


  • Additionally they can utilize Assistants with this key(if an assistant is shared with the group member) by selecting the ''

Where do I edit individual keys?

  • If you want to edit an individual key for a specific group member you can go to Users tab and select on the dropdown the member you want to edit.

    • Make sure you select the option which includes the group name.
