For Teachers and Admins
After you build an Atlas app, you can share it so that others can use it or help build it. You can share an app in four ways:
With a user, as an Editor who can build the app or a Viewer who can open and run it.
With a course, so that Teachers in that course can use the app in assignments.
With your whole organization, so that anyone in it can open and run the app.
With a public link, so that guests can run the app without an account.
Prerequisites
Before you share an app, check the following:
You are the app's Owner or an Editor. Owners and Editors can share an app. Organization admins can also share any app in their organization from the Org apps filter.
The app is published. New apps are published when you create them. If the app shows a Draft badge, open the app's ⋮ menu and select Publish. Viewers and courses cannot access an app that is a draft.
Opening the sharing options
All sharing happens from the Share app window on the My apps page. You cannot share an app from inside the app itself.
To open the sharing options, complete the following steps:
In the Control Center, select Atlas in the sidebar. The My apps page opens.
Find the app you want to share, then select Share on its tile.
The Share app window opens. It has four tabs: Course, Organization, User, and Public link. The Course tab appears only if you have a course that can use Atlas.
Adding an editor
An Editor can open the app and keep building it with the Atlas agent. Editors can also share the app with others and copy it to their own workspace. Only the Owner can rename, publish, unpublish, or delete the app.
To add an Editor, complete the following steps:
In the Share app window, select the User tab.
Enter the person's email address.
In the role list next to the email field, select Editor.
Select Share.
The person is listed under Editors in the Shared with list. If they do not already have a Vocareum account, they receive an email invitation to create one.
Editors need their own GenAI allowance to build the app. If they do not have one, they can open the app but cannot build on it. For more information, refer to Configuring GenAI Access for Atlas.
Adding a viewer
A Viewer can open and run the app, but cannot build or change it. Viewers can open only published apps.
To add a Viewer, complete the following steps:
In the Share app window, select the User tab.
Enter the person's email address.
In the role list next to the email field, leave Viewer selected. Viewer is the default.
Select Share.
The person is listed under Viewers in the Shared with list. If they do not already have a Vocareum account, they receive an email invitation to create one. Viewers must sign in to open the app. To share an app with people who do not have an account, create a public link instead.
Sharing with your whole organization
If everyone in your organization should be able to open and run the app, you can share it with the organization instead of adding people one at a time. Organization access is view-only; to give someone edit access, add them as an Editor.
To share with your organization, complete the following steps:
In the Share app window, select the Organization tab.
Select Share with everyone in followed by your organization's name.
The button changes to Shared with everyone in followed by your organization's name.
Changing or removing access
Each person, course, and organization you share with is listed in the Shared with section of the Share app window, grouped under Editors, Viewers, Courses, and Organizations.
To change a person's role, share the app with the same email address again and choose the new role. The new role replaces the old one.
To remove access, select Remove next to the person, course, or organization.
Sharing with a course
Sharing an app with a course lets Teachers in that course create assignments that use the app. Students each get their own copy of the assignment, and the app itself stays in your workspace. When you update the app, the course uses the updated version. Course access is view-only, so Teachers in the course cannot build or change your app; to let someone edit it, add them as an Editor.
The courses you can choose from are new architecture courses in your organization where you are a teacher that have not ended. Organization admins can choose any course in the organization that meets these conditions.
To share an app with a course, complete the following steps:
In the Share app window, select the Course tab.
In Search courses, find and select one or more courses.
Select Share.
The courses are listed under Courses in the Shared with list. In each course, Atlas is now available as a lab type, and the app appears in the Atlas App list when a Teacher adds an assignment.
To make sure students get AI access in the course, refer to Configuring GenAI Access for Atlas.
Important: If you unpublish an app, it is removed from every course it is shared with, and assignments that already use it no longer display the app.
Creating a public link
A public link lets anyone run your app as a guest, with no sign-in and no email address. This is useful for demonstrations, workshops, and events where participants do not have Vocareum accounts.
Each guest takes one place on the link, and every guest session spends your organization's GenAI allowance. A person who returns in the same browser reuses their place. The app must be published before you can create a public link.
To create a public link, complete the following steps:
In the Share app window, select the Public link tab.
In Max participants, enter the largest number of guests who can use the link. The default is 25 and the maximum is 500.
In Expires in, choose how long the link stays active: 1, 7, 30, or 90 days. The default is 30 days.
Optionally, in Who is it for?, enter a label to help you remember the link's purpose, such as the name of a group. Only you can review this label.
Select Create public link.
When the message "Your public link is ready" displays, select Copy and share the link with your participants.
Guests who open the link select Run simulation to start the app.
Managing public links
Your links for the app are listed under Links for this app. Each link shows how many places have been used, and whether it has been turned off, has expired, or is full.
To copy a link again, select Copy link.
To stop a link from working, select Turn off.
Guests who open a link that is turned off, expired, or full receive a message explaining that the link is no longer available.
